Definitions: Tasks and Projects

At C.O.S Collective, every request is categorized as a Task or a Project so you always know how your credits are being used. Tasks are smaller, quick turn items, while Projects are larger initiatives that require multiple coordinated steps and extended support.

We use a simple credit system. Each task equals one credit and projects are measured by the number of coordinated steps they involve.

Tasks

Tasks are single or repeatable actions that can be completed quickly, usually within one to two hours. They do not require complex planning or multiple vendor touch points.

Examples of Tasks

Family Services

  • Scheduling doctor, tutor, or childcare appointments

  • Renewing passports, licenses, or IDs

  • Ordering school supplies, uniforms, or sports equipment

  • Setting up recurring extracurricular activities

  • Coordinating drop offs or pick ups with an existing driver

Travel Coordination

  • Booking a single flight, hotel, or transfer

  • Reserving a restaurant, class, or event ticket

  • Researching a shortlist of dining or activity options

  • Purchasing travel insurance for an existing trip

Property Management

  • Scheduling a house cleaning or handyman visit

  • Arranging seasonal yard service

  • Ordering household supplies ahead of a visit

  • Confirming utilities are active before arrival

  • Booking a pool cleaning or HVAC check

Executive Support

  • Booking a meeting or reservation

  • Drafting standard correspondence or reminders

  • Filing expenses or reimbursements

  • Ordering office supplies or personal gifts

Projects

Projects are larger efforts that involve multiple steps, planning, and coordination with vendors or stakeholders. These typically span several days or weeks and use multiple credits depending on scope and complexity.

Examples of Projects

Family Services

  • Hiring and onboarding a nanny, tutor, or elder care provider (search, interviews, background checks, contracts)

  • Coordinating full school or camp enrollment with forms and payments

  • Creating and managing a shared family calendar system

Travel Coordination

  • Planning a complete vacation including flights, hotels, transfers, activities, dining, and insurance

  • Coordinating group travel with multiple itineraries

  • Managing villa rental negotiations and concierge services abroad

Property Management

  • Overseeing a home renovation or large repair project

  • Coordinating move in or move out logistics

  • Managing multi vendor upkeep such as landscaping, security, and pool care

  • Preparing a vacation home for seasonal use including staffing, stocking, and inspections

Executive Support

  • Building a board presentation or investor deck

  • Coordinating a corporate offsite or retreat

  • Implementing new software systems

  • Managing multi stakeholder initiatives with defined deliverables

Note on Scope

Some requests may shift from a Task to a Project depending on complexity. For example, booking a single flight is a Task while planning a full vacation is a Project. We always confirm how your request is categorized before work begins so you can see exactly how your credits apply.
